Applying For Placement & Therapy
What To Expect
Setting up pediatric therapy services is a process that – depending on your insurance company – can take up to six weeks to complete. We have prepared an outline of the enrollment and initiation process below to help you navigate next steps.
Step 1: Registration
The first step is to create an account in our industry-leading childcare management platform called Procare. To apply for placement at Carolina Therapeutics Academy (CTA), complete the Procare registration form. Registration does not guarantee acceptance into the Academy.
Step 2: Insurance Verification
We verify your insurance benefits based on the insurance policy information you provide in ProCare. Once verified, a member of our billing team will provide you with a Letter of Financial Responsibility that details your insurance plan specifics.
Step 3: Documentation
Our administrative team will work to obtain signed prescriptions for services or any other relevant documentation required to initiate therapy services. Once in hand, a member of our clinical team will schedule an initial evaluation.
Step 4: Evaluation
Prospective Preschool students and After-School Therapy clients are pre-screened and evaluated by both CTA educational staff members and Carolina Therapeutics clinicians. During pre-screening and evaluation, we will ensure your child qualifies for at least two therapy services (ST, OT, PT, and/or ABA), and – for their safety and the safety of fellow students – ensure that your child’s behaviors can be appropriately managed by the CTA team.
Step 5: Recommendation & Approval
Once the evaluation is complete, we send an evaluation report, an individualized plan of care, and recommendations for services to the referring physician and to your insurance carrier. When we have received authorization for ongoing therapy services, we can enroll your child in CTA and begin the recommended course of therapy!
